Overview of capacities
The capacities overview lists all capacities stored in the system. If capacities are assigned to a category, the name of the category is displayed. Tapping the category lists all capacities assigned to that category.
A capacity is a bookable type with a quantity, not a physical unit. The individual items are listed as rental objects.
Display of already rented capacities
For each capacity, the overview shows two numbers, e.g. “70 of 120”:
- The number on the right is the "Amount" of the capacity, i.e. the number of units available. It does not change due to bookings.
- The number on the left is the remaining quantity that is freely bookable. The quantity required for future bookings at the same time and any Reserve that may be held back are deducted from the number. Its color indicates how tight the capacity is.
Example: With a quantity of 120, a Reserve of 20, and future bookings that require a maximum of 30 units at the same time, it shows “70 of 120” (120 − 30 − 20). If the remaining quantity is used up, 0 is displayed — the Reserve is therefore never shown as freely available.
Reserve
Optionally, a portion of the quantity of a capacity can be held back as a "Reserve", e.g. 20 out of 120. The Reserve is included in the quantity; it is not added to it: in the example, 100 units remain freely bookable, and 120 are still available.
In the normal availability display, the Reserve is not counted — neither in the calendar nor in this overview, the agenda, or the selection in a booking. Staff can still dip into it deliberately: when making a booking, a capacity remains selectable as long as there is Reserve left, and access to it is confirmed (see Creating a booking). Even with the Reserve, bookings cannot exceed the physically available quantity.
There are therefore three quantities to be distinguished for a capacity:
| Quantity | Meaning |
|---|---|
| Amount | The available quantity (in the example, 120) — the absolute upper limit for all bookings. |
| Reserve | The part of this quantity that is held back (in the example, 20). Only bookable after explicit confirmation. |
| Required quantity | The quantity that open bookings require at the same time. The quantity cannot be lowered below this: "A minimum of 30 is required for upcoming bookings". |
The Reserve is maintained in the capacity input dialog next to the quantity; see Creating a capacity.
Search for capacities
Tapping the magnifying glass symbol in the upper right corner opens a search dialog in which the desired search term can be entered. When the entry is confirmed, all capacities matching the search term are displayed. Tap on them to select them.
