Manage subscription

The subscription determines which services are available to an organization. It can be taken out, changed and canceled taken out, changed and canceled in the app.

note

The subscription can only be managed by users with the role "Admin" and only in the organization itself. A branch does not display any"License" because it shares its organization's subscription. If the authorization is missing, a lock icon will appear on the map instead of the arrow.

Opening the subscriptions

  • Open the "Management" tab
  • In the segment "Account" Tap on the organization
  • Tap the map in the segment "License" section

The page opens "Subscriptions" with one map for each available level opens.

Trial

After registration, a 14-day trial of 14 days begins, during which Professional is fully available The "License" during this time, the has a title in the form "Professional (14-day preview)" and the note "valid until" with the end date. The closer the end gets, the more the more prominently the card will be highlighted.

If the trial expires without a subscription, access will remain, but the paid services will no longer be available.

The levels

The cards show the services included in each level.

Standard includes:

  • Capacities and categories
  • Custom fields and filters
  • Creating and managing bookings
  • Price models (tiered pricing, taxes)
  • Booking-related receipts
  • Message templates
  • Sending emails
  • Sending SMS messages (pay-per-use)
  • Automatic reminders (triggers)
  • Cash payment recording

Professional Includes everything from Standard plus:

  • Discrete rental objects (NFC scan)
  • Manual invoices and receipts
  • SumUp integration
  • Hosted website (online inquiries)
  • Multi-location (pay-per-use)

The current prices can be found in the app on the respective cards as well as on thePrice overview.

Billing and currency

Above the cards, there are two settings that only affect the display until a level is selected:

  • "monthly" or "annual" — with annual billing, the card shows the savings compared to twelve monthly prices
  • "Currency" — EUR, USD and CHF are available for selection

Two items are billed based on usage and are added to the base price: sending SMS messages in both levels and the branches in Professional. See Branches.

Finalize and switch

The button at the bottom of each card depends on which subscription is currently active:

ButtonMeaning
"Checkout"There is no subscription yet — the payment page will open
"Manage"This level is already active — opens the subscription management page
"Upgrade"Switch from Standard to Professional
"Downgrade"Switching from Professional to Standard

The current level is also marked with "Selected" marked.

Complete for the first time

"Checkout" opens the payment service provider's payment page directly in the app. Payment data is entered there and the completion is confirmed. After completion, the app automatically returns to the page "Subscriptions" page.

Change level

"Upgrade" and "Downgrade" first ask:

Confirm subscription change

After confirming with "Continue" the existing subscription will be changed — a new payment page is not necessary for this.

The tier cannot be changed while a hibernation is booked or running, nor before its resumption is complete. The prompt "Plan change unavailable" then leads to the hibernation with "Open Hibernation settings".

After the change: Update access

A switch will only change the activated services once the access has been updated. The app will ask directly afterwards:

Subscription changed. Refresh credentials now?

With "Refresh" this will be done immediately. If the notification was overlooked or a service remains blocked, logging out and logging back in will help.

Interrupting the subscription for the low season

If you do not work during the low season, you do not have to cancel. A hibernation interrupts the subscription for a planned period. All data is kept, and the organization is read-only during that time. Instead of the base price, a lower fee is charged. The hibernation is opened with the pause icon at the top right of the "Subscriptions" page.

Cancel and change payment details

"Manage" opens the payment provider's management portal. There you can change your payment method and billing address, view invoices, and cancel the subscription.

Access invoices for your subscription

Invoices for the organization's subscription are available in the Stripe portal's invoice history:

  1. Open the "Management" tab in the app.
  2. Under "Account", tap the organization, then open its "License" card.
  3. On the "Subscriptions" page, tap "Manage" on the current plan. The Stripe portal opens in the app.
  4. Scroll down to the invoice history. If you need an older invoice, select Show more.
  5. Select the invoice and choose Download invoice. The PDF is downloaded and can then be opened, saved, or shared on your device.

If you need a payment receipt, choose Download receipt on the same invoice details page. This invoice history covers subscription charges; receipts for bookings and other payments are managed separately in the app.

Status messages

If something is wrong with the subscription, the reason can be found under the"License" and in the organization's entry in the segment"Account":

MessageWhat to do
"Paid until ..."Nothing — the subscription is active
"Payment overdue; please update your payment method"Enter "Manage" enter a valid payment method
"Unpaid; access suspended until the outstanding payment is settled"Settle the outstanding payment via "Manage" via
"Paused; resume your subscription to regain access"Resume the subscription via "Manage" continue
"Inactive, paid until ..."The subscription has been canceled and will end on the specified date
"hibernation scheduled from ... to ..."Nothing — the hibernation begins on the first day
"hibernating until ...: your data is kept ..."Nothing — the organization is read-only until the resumption
"hibernation over, but the payment to resume is outstanding"Settle the outstanding payment via "Manage"

"Paused" means a payment problem, for example after a trial without a stored payment method. It is not a booked hibernation, even though both restrict access.

A subscription with a payment issue is always resolved via "Manage" resolved via not by taking out a new subscription — otherwise, a second subscription will be created in addition to the outstanding one.

info

Even if access is suspended, the page remains "Subscriptions" remains accessible to an admin of the organization. This is precisely how you can get back to an active subscription.
